1. Who This Policy Applies To
Simplivo is offered as a managed cloud product and as a self-hosted edition. This policy applies to website visitors, buyers, cloud customers, self-hosted customers, and people who contact us for sales, setup, or support.
The exact information we handle depends on which track you choose and what information you choose to share with us.
2. What We May Collect
- Contact details such as your name, email address, company name, and communication history with us.
- Billing and transaction information needed to process purchases, subscriptions, renewals, setup services, or support plans.
- Account, workspace, or service configuration information needed to deliver Simplivo Cloud.
- Self-hosted purchase, provisioning, and support information needed to deliver the software or services you bought.
- Troubleshooting information, logs, screenshots, or other context you share when asking for help.
- Anonymous product-improvement metrics from cloud and optionally from self-hosted deployments, such as request types, success rates, processing efficiency, and feature usage patterns. These never include message content, business data, financial amounts, contact names, or other customer information.
3. How Simplivo Cloud Data Is Handled
If you use Simplivo Cloud, we process the information needed to operate, secure, support, and administer the hosted service you purchased.
That can include workspace configuration, service metadata, operational information, billing information, and support-related information needed to keep the service working as intended.
This includes anonymous operational metrics that help us improve AI accuracy and product quality. These metrics contain only categorical and numeric summaries — never message content or business data.
4. How Self-Hosted Data Is Handled
If you use the self-hosted edition, your deployment is intended to remain under your control. We do not need routine access to the business data inside your self-hosted environment for you to use the software.
We may still process information related to the self-hosted license, renewals, setup services, support plans, and any troubleshooting information you choose to share with us.
5. Why We Process Information
- To provide the cloud service, self-hosted edition, setup services, renewals, and support you purchased.
- To operate billing, onboarding, support, and customer communication.
- To secure the service, prevent abuse, and investigate reliability or support issues.
- To respond to requests and improve product and support operations.
6. Third-Party Providers
We may use third-party providers for payments, hosting, AI processing, messaging-related services, analytics, communications, and support operations. Those providers operate under their own terms and privacy policies.
If you use self-hosted Simplivo, you may also connect your own third-party services. In that case, you are responsible for the providers you choose for your own deployment.
7. Retention
We keep information for as long as reasonably necessary to provide the product or service you purchased, comply with legal and accounting obligations, resolve disputes, enforce agreements, and support legitimate business operations.
Self-hosted customers remain responsible for retention of data inside their own deployments unless they explicitly share information with us as part of support or services.
8. Your Choices and Rights
- You can contact us about account, billing, or support information we hold about you.
- Cloud customers can contact us about workspace and account-related privacy requests.
- Self-hosted customers remain responsible for the data inside their own deployments unless they choose to share it with us.
9. Changes to This Policy
We may update this policy from time to time as the product, delivery model, or legal requirements evolve. The latest version will always be posted on this page.
